Mailroom Clerk

Part-Time Mailroom Clerk 

Summary Description: 
The Mailroom Clerk handles all daily operational functions that involve sorting, shipping, receiving, delivering, returning, mailing, processing and handling all incoming and outgoing packages and other documents. This position works 3 days per week, Monday - Wednesday. Other days may occasionally be required to fill in for vacation.

Reports to Director of Security 

Responsibilities 

  • Receives, sorts, and delivers all incoming mail.  

  • Maintain the record of outgoing mail and/or packages. 

  • Ensure delivery of outgoing mails to courier or post office 

  • Process outgoing mail using a scale and postage meter. 

  • Replenish supply of post office forms 

  • Purchase postage and ensure postage supply. 

  • Maintain supplies, including shipping and mailing envelopes, boxes, markers, forms stickers, and tape available to ensure that they don’t go out of stock. 

  • Maintain museum general office supplies inventory including special orders from staff. 

  • Keep the mailroom organized by properly arranging the bundles of mail and packages coming in to prevent littering in the office space. 

  • Assist with special projects and assignments. 

  • Other duties as assigned. 

 

Qualifications

  • Transportation, current driver’s license and good driving record required. 

  • Experience with mail sorting and postage meter machines is a plus. 

  • Well organized with sharp attention to detail 

  • Good oral and written communication skills  

  • Good administrative skills including photocopying, faxing, filing and problem‐solving.  

  • Good knowledge of computer applications such as Word and Excel, internet explorer, windows explorer    

  • Ability to deal with sensitive and confidential items of mail in accordance with the code of conduct.  

  • Ability to work on own initiative and be proactive in problem solving, especially in locating staff members and deciphering mail.  

 

Work Environment 

This job operates in a professional office environment. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets and fax machines. 

 

Physical Demands 

Must be able to stand and walk for long periods of time.  Must possess mobility to work in a mailroom setting; and use standard mailroom and office equipment, including a postage meter, mail folding/stuffing machine and a computer; strength and stamina to lift, carry and move packages and mail containers up to 20 pounds; vision to read printed materials and a computer screen; and hearing and speech to communicate in person and over the telephone.
