Summary 
The Tour and Docent Coordinator works within the education department and is primarily responsible for scheduling all docent-led tours of the museum, communicating with prospective tour groups, and effectively matching them with guides from the Modern’s cadre of 60 volunteer docents. The Museum offers an extensive tour program, including school tours for K–12 and university students, public tours (Thursday–Saturday), Sunday family tours, monthly specialist tours, and tours related to special exhibitions. While tour bookings vary throughout the year, the Coordinator should expect to book approximately 70-130 tours per month.

In addition to tour and docent responsibilities, the Coordinator provides administrative support to the education department by recording and tracking data, maintaining calendars, and coordinating travel, accommodations, and honorariums related to education programming.

Scope and Impact 
The Tour and Docent Coordinator is often the first point of contact between the Museum and the public and plays an essential role in the smooth operation of the Modern’s tour program. Consistent coordination, professionalism, clear communication, and ongoing engagement with key stakeholders are essential. The Coordinator’s data collection and administrative tasks support the ongoing development and implementation of education programs. The position works closely with the Assistant Curator of Education for Docent Training and Guidance, education and visitor services staff, and Modern docents.

Principal Responsibilities
Docent tours
•    Manage and respond promptly to all tour requests; confirm tour details with visiting organizations and assigned docents via phone and email.
•    Assign docents based on availability, expertise, and audience needs.
•    Schedule all docent-related programs and tours using scheduling and ticketing software and update as required.
•    Maintain clear and consistent communication with docents and visitor services staff regarding tours and related programming.
•    Welcome tour groups and coordinate their assigned docents; serve as a backup tour guide in cases of last-minute docent absence.
•    Support and attend tours and programs held outside of regular hours as needed.
•    Provide logistical and administrative support for docent development initiatives.
•    Assist with research and preparation of visual aids for docent tours.
•    Prepare and distribute a weekly docent newsletter with updates and resources.
•    Maintain and organize the docent library, ensuring accessibility and sufficient inventory.
•    Foster a respectful, collaborative, and supportive environment for the docent corps.

Administrative support
•    Collect, organize, and manage data on docent tours, education requirements, and activities and share compiled data with other departments as needed.
•    Represent the education department in weekly calendar meetings to coordinate scheduling across departments.
•    Coordinate logistics for guest speakers and instructors, including travel, accommodations, and honoraria.

Secondary Responsibilities 
When primary duties are fulfilled, this role may expand to include the following opportunities in education and program development:
•    Research current exhibitions and permanent collection artists to support tour content.
•    Provide training on exhibitions and touring techniques to docents and Visitor Services Guides.
•    Develop educational materials for student and adult tours in collaboration with the Assistant Curator of Education for Docent Training and Guidance, exploring innovative engagement strategies.
•    Produce a newsletter featuring upcoming events and resources for educators and families.
•    Accompany docents on local field trips to relevant exhibitions and institutions.
•    Assist with planning, communication, and group coordination on annual docent trips.

Required Training and Skills
•    A bachelor’s degree or comparable experience; educational background in art history, art education, fine art, museum studies, or related disciplines preferred. 
•    Demonstrated ability to manage complex schedules, balance multiple deadlines, and coordinate with internal and external stakeholders.
•    Interpersonal communication skills: ability to communicate clearly and effectively with all stakeholders and resolve issues that arise with diplomacy, tact, and professionalism; convey schedules and deadlines in a timely manner; provide reminders and follow-up calls and emails.
•    Organizational skills: capacity to collect, organize, and maintain large amounts of information, with strong attention to detail.
•    Public speaking skills: ability to present to and engage with audiences including K-12 and university students, educators, docents, adult learners, and colleagues.
•    Problem-solving skills: talent for anticipating potential needs and finding appropriate solutions in collaboration with colleagues and stakeholders.
•    Proficiency with computers and other office technologies; experience with or capacity to learn the Modern’s ticketing and scheduling software (Siriusware and Artifax); willingness to learn and implement new systems as processes evolve.

Preferred Training and Skills
•    Experience with database management
•    Proficient in Microsoft Excel and Outlook
•    Bilingual in English and Spanish.
