Direct Reports: Finance Administrative Assistant
Position Summary:
The Controller leads all day-to-day accounting operations, including functional responsibility over accounting, financial reporting, accounts payable, daily sales and payroll. The Controller will ensure that the Museum maintains accounting records in accordance with GAAP and has adequate internal controls designed to mitigate risk and enhance the accuracy of the Museum’s reported financial results.
Essential Responsibilities:
Consistently analyze financial data and present financial reports in an accurate and timely manner, clearly communicate monthly (cash basis), quarterly (convert to accrual-based interim), and annual financial statements, monitor progress and changes and keep senior leadership abreast of the Museum’s financial status.
Prepare monthly bank and investment portfolio reconciliations.
Manage the operating account cash flow and monitor the balances daily.
Reconcile subsidiary ledgers to the Statement of Financial Position monthly.
Maintain internal controls and safeguards for receipt of revenue, costs, and program budgets and actual expenditures.
Coordinate all audit activity, including preparation of all required audit schedules.
Coordinate preparation of the informational and corporate returns, including information gathering as requested by the CPA firm.
Monitor the required federal and state quarterly tax estimates related to unrelated business income.
Supervise payroll functions and record all related transactions; serve as backup for payroll processor.
Work with the Development Department on grant applications, donor reporting and other.
Provide leadership in strengthening internal communications with staff at all levels throughout the Museum; create and promote a positive and supportive work environment.
Maintain the Museum’s accounting manual current and update at least annually.
Other duties as required.
Required Skills and Qualifications:
- Bachelor’s or Master’s degree in accounting, finance, or business or any equivalent combination of experience and/or education from which comparable knowledge, skills, and abilities have been achieved. CPA a plus.
- 5-7 years of professional accounting experience, preferably in a museum or nonprofit organization.
- Demonstrated knowledge of GAAP accounting for nonprofits.
- Prior experience with monthly close and financial reporting required
- Demonstrated ability to represent the finance team with a high level of integrity and professionalism.
- Self-motivated, with the ability to exercise discretion and independent judgment.
- Strong organizational skills. Successful track record of managing multiple concurrent assignments and meeting deadlines with little direct supervision.
- Detail-oriented, with strong analytical skills.
- Proven experience in problem-solving.
- Successful supervisory experience.
- Effective communication and interpersonal skills. Ability to translate financial concepts to individuals at all levels and experience. Open to feedback.
- Manage sensitive matters effectively and with diplomacy.
- Ability to assist and instruct museum staff/volunteers with a patient, respectful, and supportive approach.
- Extensive experience with Microsoft Office suite.
- Proficiency with CRM applications
Work Conditions
Work is performed in a temperature controlled professional office environment.
Physical Requirements
While performing the duties of this job, the employee is frequently required to stand and reach with hands and arms. The employee is regularly required to use their hands to finger, handle, or feel objects, tools or controls; and talk or hear. The employee is occasionally required to walk, sit, and climb stairs/ladders. The employee must occasionally lift and/or move up to 10 pounds. Specific vision abilities required by this job include close vision, distance vision, color vision, peripheral vision, depth perception, and the ability to adjust focus.
